Position Summary
The BCIT Foundation is seeking a temporary, full-time (1.0 FTE) Manager, Advancement Systems.The Manager, Advancement Systems is responsible for the overall vision and strategy for systems within Advancement, particularly the Raiser’s Edge (RE) Customer Relationship Management (CRM) fundraising system. This position works with the Development and Alumni Relations teams to ensure current and future data needs are met. The Manager assesses and analyzes data quality and tools to provide recommendations for system usage and reporting, establishes user training programs and documentation materials, and supports efforts to improve performance of fundraising initiatives. Additional responsibilities include designing and implementing data quality reviews and best practice policies and procedures to ensure that systems operations and data quality are maintained.
Duties & Responsibilities
KEY ACCOUNTABILITIES:

Systems Management:
  • Develops the vision and implements strategy to manage systems, including Raiser’s Edge (RE) CRM database used within Advancement.
  • Works closely with users within Advancement to ensure that appropriate software tools are identified and implemented to meet current and future needs.
  • Determines and guides the functional use and operations of the RE system and other applications.
  • Overall responsibility for data quality, especially data entry, and is involved in all decisions impacting data quality and structure.
  • Develops, implements, and monitors all system policies and procedures, ensuring data integrity and operating efficiency are maintained.
  • Administers systems security and network access, ensuring established standards and protocols are followed.
  • Acts as first point of contact for any systems performance or other software issues.
  • Oversees and coordinates functional support for system users, including training programs.
  • Develops and implements a disaster recovery plan in conjunction with BCIT Information Technology (IT) Services department.
  • In conjunction with other departments, develops and maintains an annual calendar of activities for the RE system.

Fundraising, Reporting, Queries, Imports and Exports:
  • Works with Development and the Executive Director to develop and implement donor prospecting strategies and provide recommendations on reporting needs and methodologies.
  • Works with RE users to develop and generate custom financial and fundraising reports to assist Advancement to meet and exceed annual fundraising goals.
  • Develops and implements reports that track key performance targets and measures.
  • Liaises with IT Services as required on the process for importing and exporting data from/to other systems.
  • Liaises with the Financial Accounting Coordinator on monthly donation reconciliation process and annual audit requirements.

System Implementation, Upgrades and Conversions:
  • Oversees the requirements analysis, selection, implementation and post-implementation review of software used within Advancement.
  • Coordinates with IT Services and other groups regarding system upgrades and conversions used within Advancement.
  • Monitors ongoing industry related IT developments and opportunities in the field of Advancement Services.
  • Maintains contacts with other post-secondary institutions and user groups to research systems, applications and best business practices.
  • Oversees contracts for external system support consultants.
Qualifications
QUALIFICATIONS & REQUIREMENTS:

Education and Experience:
  • Bachelor’s degree or equivalent experience in fundraising system administration, report writing, data analysis or research in a fundraising environment.
  • Proven experience in the administration of complex fundraising database systems.
  • Three to five years’ experience in a similar role, preferably in a fundraising operation at a post-secondary institution.
  • Three to five years’ experience with systems administration, in particular Raiser’s Edge NXT and other Blackbaud products.
  • Proficiency with Microsoft Office applications.
  • Experience with reporting tools such as Crystal reports.
  • Experience with Importomatic importing software.
  • Working knowledge of Canada Revenue Agency guidelines and regulations for fundraising and tax receipts.
  • Working knowledge of privacy legislation related to donor records management.

  • As a member of the Advancement management group, must be a strong team player, excelling in interpersonal skills, with a positive and energetic approach.
  • Excellent verbal and written communication and presentation skills.
  • Keen attention to detail and accuracy.
  • Excellent organizational and analytical skills.
  • Ability to identify issues and provide guidance in resolving complex systems issues.
  • Proven ability to collaborate with stakeholders on multiple projects and deliver on project timelines and goals.

  • Must be able to work a flexible schedule outside of regular office hours, if required.
