Position Summary | BCIT’s School of Construction and Environment is seeking a regular, full-time (1.0 FTE) Toolroom Attendant. This position provides toolroom services and support to faculty and students such as preparing, organizing, tracking, issuing and receiving tools. Receives and distributes training materials and prepares related lockers or workstations as needed. Checks for damages and loss, making minor repairs to tools and other learning equipment. Determines and coordinates when equipment must be shipped out for repairs. Monitors, records and maintains tool and material inventory, preparing purchase requisitions and other documentation related to the toolroom. Maintains cleanliness and organization of the toolroom, materials and related shop/work areas/yards. |
Duties & Responsibilities | DUTIES AND RESPONSIBILITIES:
- Performs purchasing duties as required by the department and/or related specialty campus. Calls suppliers for approximate pricing. Prepares and processes orders using purchase requisitions, open purchase orders using purchase cards and following BCIT policies. Tracks and expedites orders in co-ordination with the Purchasing/Procurement Department. Prepares, maintains and files related documents.
- Receives and records incoming equipment, tools, parts, supplies, other training supplies, materials, and chemicals using BCIT systems and procedures. Places into appropriate storage/inventory areas. Checks for discrepancies between orders and incoming inventory/materials. Notifies central stores, manager or supplier of discrepancies, as per procedural guidelines. Files and maintains related documents.
- Monitors inventory levels of supplies, learning materials and consumables, ensuring they are maintained to meet department needs. Expedites backorders and sources alternative suppliers as appropriate and according to policies.
- Sources components/parts for the purpose of repairing shop tools and reports sourcing to supervisor.
- May be required to cut steel inventory according to program requirements utilizing appropriate heavy-duty steel cutting and lift equipment. Keeps students projects material inventory stocked and cut to required lengths.
- Stores, logs and tracks resources and tools following industry quality assurance guidelines and regulatory/traceability requirements as needed. Participates in periodic inventory documentation review activities as required by department or toolroom area.
- Assists with internal and external audits by regulatory bodies, and assists in responding to findings/observations, as requested.
- Maintains required documentation and manuals received with parts, tools and equipment. Ensures documents are stored and updated as appropriate and are accessible in accordance to regulations.
- Maintains log books and equipment keys as required and ensures they are securely stored according to procedures.
- Organizes, prepares and issues tools, toolroom resources, training/learning materials, toolboxes, equipment and/or lockers; prepares work shop orders and shop floor for course practice. Organizes materials for window pick-up or delivers to the work shop floor or classroom as needed.
- Coordinates between industry providers, instructors and program delivery schedules on use of shop tools, resources and equipment, ensuring no conflict between courses.
- Arranges for workshop clothing cleaning as needed.
- Scans, tracks and records incoming and outgoing tools and materials. Monitors for damage or loss of tools and equipment and reports any damage or loss to Department Head or Manager.
- Contacts borrowers regarding overdue, missing or damaged items.
- Performs minor repairs on damaged or broken tools. Sources components for the purpose of repairing equipment.
- Performs scheduled general maintenance, inspections and tracks calibration of workshop and toolroom equipment. Arranges for tool and equipment repairs with vendors, preparing paperwork and arranging shipping. Prepares and sends equipment and tools out for repairs. Logs and updates repair/maintenance and work order records.
- Assists and advises students and staff with respect to safety and correct use of tools, equipment and chemical identification and handling. As appropriate, provides suggested alternative tools if the tool requested is unavailable/broken. Refers unknown answers to Instructor.
- Ensures cleanliness and organization of all related toolrooms and areas. Follows storage safety protocols and ensures proper recycling and pick-up of waste, hazardous waste and unused materials in accordance to applicable regulations, policies and procedures.
- Maintains and tracks keys to training aid equipment and shop cabinets. Ensures security of inventory and toolroom areas.
- Secures toolroom, workshop and/or yard at the end of the day.
- Operates forklift to move equipment, loads and unloads trucks as required and only after qualifications to operate forklift are achieved.
- Monitors, and maintains the storage, bins and current labelling of goods and hazardous materials in conformance to applicable regulations, guidelines and policies. Updates labels, lists and appendages to ensure up-to-date information and ease of reference.
- Ensures current Material Safety Data Sheets (MSDS) for products used in School Programs are accessible through the Workplace Hazardous Materials Information System (WHMIS) and MSDS binder.
- Adheres to and promotes safety standards required by regulatory bodies including but not limited to: BC Safety Authority, WCB Regulations, WHMIS, equipment lock-out, fall protection, confined space, rigging and hoisting, transportation of dangerous goods and hazardous materials identification.
- Facilitates lock-out procedures when required and where relevant.
- Answers telephone in the toolroom, responds to queries and relays messages. Directs enquiries appropriately within the department and BCIT and works with all departments and staff to maintain good communication, Toolroom customer service and support.
- Maintains an awareness and adapts to new equipment/tools/materials as industry evolves, etc.
- Notifies instructors of parts/material arrivals and coordinates pick up and delivery to instructor, student or workshop, as appropriate.
- Identify and recommend efficiencies in all aspects of the role.
- Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP)
- Undertakes related duties as assigned, consistent with the job grade of this position.

Qualifications | QUALIFICATIONS:

Education: - Grade 12 plus completion of a minimum of 1 year of specialized courses in a related field with a broad knowledge of tools and equipment used in the program area.
License(s)/Certifications(s): - Valid Forklift Operators license (or willing and able to obtain).
- WHMIS certification (or ability/willingness to obtain).
Experience: - Two years of general experience, plus 2 years of practical, current experience in a position of similar responsibility, including minor equipment repair and general maintenance, and parts sourcing and purchasing.
- Must have solid working knowledge and understanding of tools and equipment related to the program area to be able to properly handle, source, recommend and identify related tools.
Software/Computer Application(s) and Expertise: - Demonstrated ability in using Microsoft Word and Excel applications.
- Experience using database and business enterprises software.
- Ability to use email and internet.
- Accurate keyboarding skills.
Communication/Interpersonal Skills: - Excellent interpersonal, communication and customer service skills.
- Proven ability to work both independently and as a team member.
- Demonstrated ability to use good judgment, ability to work with confidential information and to demonstrate initiative.
Administrative Skills (e.g., prioritizing, minute taking, wp speed, etc.): - Must have excellent organizational skills and the ability to handle multiple tasks.
- Ability to prioritize and pay attention to details.
- Ability to carry out duties and responsibilities to work independently and take initiative without constant supervisory direction.
- General business skills (filing, record keeping, basic accounting).
Other Skills/Abilities: - Mechanical aptitude as well as a broad knowledge of tools and equipment used in the program area.
- Must be able to stand for long periods of time and be able to lift and carry heavy objects of up to 50 lbs., without the aid of a hydraulic lift or hand truck. Must be familiar with proper lifting and maneuvering techniques of heavier equipment.
- Flexibility with hours and shifts, as they may vary.

Salary Range | Salary Grade 7: $59,214 - $64,490 per annum. |
Additional Salary Information | External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment. |
