Position Summary
BCIT’s Centre for Workplace Education (CWE) is seeking a temporary, full-time (1.0 FTE) Program Assistant. The position acts as a key member of a collaborative team focused on supporting the provision of high quality workplace educational employment experiences for students, this position provides day-to-day assistance in the operational activities required in the delivery of workplace education programs at BCIT.
Duties & Responsibilities
DUTIES & RESPONSIBILITIES:

Support services for the Centre for Workplace Education:
  • Collects, inputs and reports out on co-op student enrollment and placements data; provides detailed statistical reports to BCIT, government agencies and professional associations.
  • Creates, develops and maintains systems to track students for the duration of enrollment.
  • Facilitate student work term registration.
  • Screens calls, schedules appointments, coordinates interviews, and handles mail.
  • Handles logistical setup and catering for meetings and appointments.
  • Provides clerical support as required, i.e., photocopying, filing, faxing, distributing materials, and ordering supplies.
  • Keeps an up-to-date, comprehensive knowledge base of workplace education programs, policies, procedures and process systems.
Computer and database maintenance for the Workplace Education Offices:
  • Inputs student, employer, and job posting data into database.
  • Uses database to complete departmental records creation, reporting, and tracking of departmental activity.
  • Develops and manages data on a relational database; populates database with potential employers, maintains, updates and monitors a database of workplace education employers and students.
  • Assists in implementation of, and provides training on, new systems/programs.
  • Troubleshoots database problems; recommends improvements and/or upgrades as appropriate.
  • Compiles statistics on students and graduates, employer participation, etc.
  • Assists the Program Head and or Supervisor with projects as they arise.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP).
  • Undertakes related duties as assigned consistent with the job grade for this position.
Qualifications
QUALIFICATIONS:

Education:

  • Grade 12 completion, plus completion of one year of post-secondary education in business administration, computer applications or marketing.

Experience:

  • Two years of general experience plus one year of experience in an administrative position, preferably in an educational environment:
Software/Computer Application(s) and Expertise:

  • Advanced knowledge and demonstrated use of Microsoft Office applications and database application programs.
Communication/Interpersonal Skills:

  • Excellent interpersonal, communication, and organizational skills.
  • Excellent customer service and problem-solving skills.
Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.):

  • Accurate keyboarding of 50 wpm.
  • Demonstrated ability to meet changing priorities; works to deadlines while making responsible decisions within established guidelines.
  • Attention to detail and data accuracy.
  • Ability to work with minimal supervision.
  • A high degree of initiative, with a positive and proactive approach to facilitating day-to-day operations.

Salary Range Salary Grade 6: $56,241 - $60,872 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
