Position Summary
BCIT’s Registrar’s Office is seeking a regular, full-time (1.0 FTE) Communications Specialist. This position is responsible for the writing, editing and accuracy of all published information in the context of Registrar’s Office (RO) business operations and departments. As a key member of the Office of the Registrar team, this position works closely with management and the Program Information Administrator to ensure that all communications meet a high-quality standard in a fast-paced, deadline-oriented environment. This position is fundamental to the program catalogue publication process and provides professional writing support for all RO communications. This position also undertakes projects as assigned by the Associate Registrar.
Duties & Responsibilities
DUTIES AND RESPONSIBILITIES

Program Catalogue:
  • Participates at Stakeholder/Operations meetings to provide feedback and guidance on web page structure, wording, formatting, content and best practices for program proposals
  • Works closely with the Program Information Administrator (PIA) and stakeholders to review program changes; advises PIA and/or program area of issues or concerns
  • Organizes content in a logical and coherent manner, identifies and eliminates structural inconsistencies and suggests or creates new ways to present material for better comprehension and usability
  • Creates and maintains all Banner components for web page development including program matrices, content, categorization plus content management system components
  • Edits program content for consistency and publishes program pages
  • Maintains the master program inventory

Editing and Quality Assurance:
  • Writes, edits, proofreads and publishes a quality product by ensuring language is appropriate for the specific audience, information is organized both logically and intuitively and that facts are checked and aligned with established policies, procedures and business operations.
  • Creates a broad variety of materials for the RO, including communications to students, online content, procedures, documentation, newsletters, questionnaires, forms or similar as assigned and for a variety of purposes and audiences
  • Ensures the overall accuracy and quality of final documents and communications, including text and layout
  • Ensures styles and standards have been applied consistently and accurately

General Duties:
  • Initiates and maintains a standard glossary of terms and the style guides for program information, procedures, online and student communications
  • Attends meetings and liaises with applicable content owners to understand departmental business processes
  • Collaborates with stakeholders, project teams, committees and others as required to ensure objectives are met; negotiates outcomes to ensure consistency and quality
  • Assures consistency of policy and procedures with BCIT web content, forms design and business process flows
  • Communicates standards and best practices to stakeholders
  • Utilizes the Institute reporting system to maintain the accuracy of the online program catalogue
  • Liaises with RO Systems and IT for system requirements and troubleshooting
  • Maintains Banner validation tables related to the program catalogue
  • Performs system testing for upgrades
  • Prepares online content using Banner or web authoring software and/or pdf conversion software
  • Undertakes other duties as assigned that are consistent with the grade of this position
Qualifications
QUALIFICATIONS

Education:
  • Diploma in Communications or relevant diploma including courses in writing, editing, education and/or marketing.

Experience:
  • Two years general experience plus four years of relevant experience in a similar position in a complex educational or business environment.
  • Software/Computer Application(s) and Expertise
  • Enterprise systems (such as Banner), content management systems, MS Office, HTML, enterprise reporting systems (such as Cognos)
  • Strong computing and social media skills.

Communication/Interpersonal Skills:
  • Excellent communications skills, both oral and written, demonstrating a superior command of the English language
  • Ability to articulate and write for a variety of audiences and communication tools
  • Proven editing and proofreading skills at an advanced level
  • Excellent interpersonal skills and proven contribution as a team member.

Administrative Skills:
  • Highly organized with demonstrated ability to work under pressure, meet tight deadlines and effectively handle changing priorities
  • Must be detail-oriented with a high degree of accuracy.

Other Skills/Abilities:
  • Requires strong working knowledge of RO policies, procedures and business practices,
  • Requires a strong working knowledge of BCIT programs and courses
  • High degree of initiative in identifying and solving problems
  • Demonstrated ability and willingness to learn new skills and participate in ongoing professional development
  • Demonstrated ability to work in a flexible, collaborative and team-oriented environment
  • Excellent customer service skills with proven ability to work effectively with a wide variety of managers and staff at various organizational levels and capacities.

Salary Range Salary Grade 8: $62,669 - $68,082 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
