Position Summary
BCIT’s School of Construction and the Environment is seeking a temporary, part-time (0.5 FTE) Sample & Resource Room Coordinator. This position is responsible for the inventory, resources, organization and maintenance of the Interior Design program’s Sample and Resource room and assists in its operational functions. Ensures materials and samples are organized and accessible for Faculty and Students. Maintains the inventory system of materials receives and stocks samples, materials and resources.
Duties & Responsibilities
DUTIES AND RESPONSIBILITIES:

  • Organizes and maintains an orderly system and visual display of materials including interior design material samples, including base building, fabrics and textiles.
  • Maintains a materials inventory database system, recording and tracking material and resource inventories.
  • Monitors inventory levels of supplies, learning materials and consumables, ensuring they are adequately maintained to meet the department needs and student projects. Call suppliers and sources alternate materials as appropriate and according to policies.
  • Develops, improves and implements procedures for the smooth operations of the resource room, ensuring activities are occurring in an efficient, effective and controlled manner.
  • Organizes student volunteers each term.
  • Provides orientation and ongoing support to new staff and students in the access and use of the resource room’s materials and resources.
  • Ensures cleanliness and organization of the Sample and Resource rooms and that inventory is secured and stored according to established standards.
  • Prepares general correspondence, , material handling requests and other documents related to the sample room operations.
  • Researches new industry trends on materials, makes recommendations, and sources suppliers.
  • Establishes and maintains relationships with design industry vendors and associations.
  • Assists students to source materials for sample presentations.
  • Arranges speakers and presenters for student and faculty lunch and learn sessions.
  • Attends meetings on an as required basis.
  • Participates in Records Custodian training and remains current with record keeping practices, policies and procedures (both BCIT and FOIPOP)
  • Undertakes related duties as assigned, consistent with the job grade of this position.
Qualifications
QUALIFICATIONS:

Definition:

Education:
  • Grade 12 plus completion of one year of post-secondary education in a related subject such as interior design, fashion arts, business administration, marketing or other relevant programs that include courses in textile science, colour theory, space planning or visual communications.

Experience:
  • Minimum two years general experience plus two year’s experience in a position of similar responsibility, preferably in the interior design/construction industry.
  • Software/Computer Application(s) and Expertise:
  • Knowledge of construction industry cataloguing software.
  • Demonstrated experience in maintaining databases.
  • Proven ability with MS Word and Excel at the intermediate level
  • Familiarity or previous experience with the MasterFormat system

Communication/Interpersonal Skills:
  • Demonstrated oral and written communication skills, with the ability to communicate clearly with various groups, both internally with students and staff, and externally with vendors and other service organizations.

Administrative Skills (e.g. prioritizing, minute taking, wp speed, etc.):
  • Sound knowledge of office systems and procedures.
  • Must be detail oriented, with a strong customer service orientation and a commitment to high standards of quality.
  • Excellent organizational, interpersonal, and time management skills.
  • Ability to establish priorities and to work to tight deadlines.
  • Ability to troubleshoot, problem-solve and make responsible decisions both independently and as a team member.

Other Skills/Abilities:
  • A demonstrated, high level of initiative and flexibility is required.

Salary Range Salary Grade 6: $56,241 - $60,872 per annum.
Additional Salary Information
External hires are initially placed at the minimum of the salary range with set progressions to the maximum as per the Collective Agreement. Salary prorated based on percentage and term of appointment.
