Position Description:
The Executive Assistant provides strategic and administrative support to ensure the efficient operation of the GTO Canada Business Unit. This role requires a highly organized, proactive professional who anticipates needs, exercises sound judgment, and thrives in a fast-paced and evolving environment.
The ideal candidate brings extensive experience supporting senior executives, demonstrates exceptional discretion, and can manage shifting priorities with professionalism and composure.
Your future duties and responsibilities:
- Onsite presence required: Minimum 3 days per week at the Montreal office
- Provide comprehensive executive support to the BU Leader / Senior Vice-President, including proactive calendar and priority management, acting as the first line of defense.
- Coordinate and manage internal and external meetings, ensuring alignment of schedules and preparation of required materials.
- Oversee administrative processes, including travel arrangements, expense reporting, approvals, authorizations, and CRM tool management.
- Collaborate with the Operations Director and BU Planner to coordinate and organize annual business planning and events.
- Approve time sheets and review expense reports for the BU Leader's direct reports to ensure compliance with CGI policies and standards.
- Liaise with internal administrative teams and client executive assistants to coordinate meetings, visits, and business engagements.
- Provide executive-level administrative support to one Senior Vice President Delivery including calendar management, expense administration, timesheet approvals, and participation in and facilitation of team meetings.
Required qualifications to be successful in this role:
- Minimum of 8 years of relevant experience in a similar executive support role.
- Exceptional verbal and written communication skills in English and French.
- Advanced writing, editing, and formatting abilities for executive presentations and communications.
- Excellent interpersonal and listening skills with the ability to anticipate executive needs.
- Highly intuitive, self-directed, and proactive.
- Sound judgment and ability to make timely, well-informed decisions.
- Exceptional organizational and time-management skills, with the ability to manage multiple priorities simultaneously
- High level of professionalism, discretion, and integrity when handling sensitive and confidential information.
CGI is providing a reasonable estimate of the pay range for this role. The determination of this range includes factors such as skill set level, geographic market, experience and training, and licenses and certifications. Compensation decisions depend on the facts and circumstances of each case. A reasonable estimate of the current range is $50,000–$100,000. This role is an existing vacancy
Bilingualism (French and English) is required for this position due to the nature of the role requiring interaction with national and global clients.
