Overview
We are looking for an Executive Business Administrator to join our Global Affairs organization. The Global Affairs team leads the company’s engagement with international governments and organizations and has responsibility for cybersecurity policy, including our global efforts to combat digital crime, and related work that will include new initiatives to fight ransomware and AI-based consumer fraud. This organization also works closely with governments and partners around the world to help them harness the power of AI.
The position requires someone who has proven communication, organizational and interpersonal skills along with the ability to work at the Microsoft executive level, including high profile engagements and external leaders. The ability to work successfully under pressure in a fast-paced team environment, build and maintain effective working relationships, accommodate diverse working styles and be fair and unbiased are essential to success in this role, along with attention to detail and the ability to maintain strict confidentiality. As an Executive Business Administrator, you will work in close partnership with the Chief of Staff and other members of the organization and team to provide integrated support.

Qualifications
Required Qualifications
- 7+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.
- 1+ year(s) experience in government affairs, law, or working in a highly matrixed global organization.
- Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
- 4+ years experience serving as mentor or direct/indirect (e.g., team leader) supervisor to others.
- 5+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training).
- High level calendar management experience
- Proven verbal and written communication skills to support working with team members, and both internal and external stakeholders in various locations.
- Experience with external clients and high-profile customers
- Detail-oriented with proven problem-solving and troubleshooting skills.
- Proven cross-team collaboration skills.
- Ability to be flexible and work quickly and efficiently in a fast-paced environment.
- Ability to react with appropriate urgency to situations and requests.
- Ability to maintain confidentiality and use discretion and judgment at all times.
- Exercise sound judgment, tact, diplomacy, integrity and professionalism in all communications.
- Proficiency in: Microsoft Office (Outlook, Word, Excel) and ideally experience in Microsoft internal tools (HeadTrax, MSS, iCIMS, MS Space, MyOrder, etc.).
Business Support ATR-E - The typical base pay range for this role across the U.S. is USD $32.84 - $66.30 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $44.81 - $72.69 per hour.

Responsibilities
Supporting the President, Microsoft Global Affairs, and team in the planning and execution of engagements by providing business management and administrative support, including (but not limited to):
- Tracking and coordinating all incoming speaking and engagement requests, aligning them with the existing calendar, identifying conflicts, and supporting decision-making on acceptances.
- Managing the creation and coordination of internal briefing and planning documents, including reviewing and editing content.
- Serving as a key interface for external communications—drafting, reviewing, and editing letters, emails, and other correspondence with government officials and partners.
- Ensuring seamless meeting execution and preparing all materials for external engagements, including AV setup for events.
- Proactively managing detailed travel and logistics for the President, including flights, ground transport, accommodations, meals, and field visit coordination.
- Handling all expense submissions and reports.
- Collaborating across internal teams and external organizations to ensure alignment and execution.
- Understanding the rhythm of the business to effectively plan meetings, anticipate needs, and provide timely support.
- Supporting additional team projects as needed.
