We’re seeking an Executive Business Administrator to support the VP of OneNote. In this role, you’ll be part of a global, diverse, and talented team dedicated to building exceptional apps, services, and devices within Microsoft’s Experiences + Devices (E+D) division. Qualifications

Required Qualifications:

  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper-level management
    • OR equivalent experience
  • 3+ years experience reviewing and managing administrative budgets (e.g., for events, morale, travel, training)
Preferred Qualifications:
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.
  • 5+ years of experience with project or office management including budget management, calendaring, and understanding of the business to help the decision-making process.
  • 3+ years of experience with Microsoft products including Outlook, PowerPoint, Word, Excel, and Windows.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $30.29 - $50.53 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $41.83 - $57.88 per hour.

Responsibilities

  • Provide strategic calendar management and meeting Logistics for manager(s).
  • Assist in Rhythm of the Business planning and scheduling.
  • Expense management.
  • Purchasing equipment, services, and supplies, creating purchase orders and processing invoices.
  • Headcount coordination.
  • Provide onboarding support for new employees, vendors, and interns.
  • Distribution and security group ownership and management.
  • Organizing and planning off-sites and morale events.
  • Cross collaborating, planning, and support including All Hands, morale events, and other group meetings as needed.
  • Manage budgets including team discretionary budget.
  • Develop relationships with stakeholders across multiple organizations to enable their leader and/or team's work.
  • Communicate with external partners and audiences.
  • Space management.
  • Proactively manage current space allocation; assist when there are large organizational moves.
  • Office set up and clean out for incoming and outgoing employees, interns, etc.
  • Takes direction from lead admin(s) and mentors junior colleagues to help them better understand the organization. May lead a team of Business administrators.
  • Planning and coordination of purchasing equipment, services, and supplies, creating purchase orders and processing invoices.
  • Provide onboarding support for new employees, vendors, and interns.
