We are looking for a highly motivated Administrative Coordinator to join our Oxford Retail Team.
Reporting to the National VP of Operations in Oxford’s Retail Team, you will provide direct administrative support for the National VP and the VP of Marketing. In addition, this role will provide coordination support for the broader retail operations, marketing and gift card team in connection with eight enclosed shopping centres across Canada.

As a member of this team, you will be responsible for
- Demonstrating professionalism in a consistent manner that supports inclusion, ensures confidentiality, and exemplifies The Oxford Way
- Answering, screening, and forwarding incoming phone/in-person inquiries while providing general information as needed
- Maintaining schedules, calendars and appointments for the National VP Ops and VP Marketing
- Coordinate daily activities and determine important matters regarding the incoming information
- Book travel arrangements for National VP and leaders
- Compiling and submitting expenses on behalf of the VPs
- Preparation of correspondence, making distribution list and coordinating sending of documents and reports
- Photocopying, faxing, scanning, filing and prioritizing of emails for the VPs
- Communicate with senior management and other organizations/department leaders
- Write internal and external correspondence for VP
- Work on special reports and prepare presentations as needed
- Use Microsoft excel review and assist in analyzing site reports (operating and marketing expenses) to assist the VP
- Prepare and consolidate expense reports, other financial documents for review
- Prepare all types of documents, such as correspondence, reports, memos, etc., in the required styles and formats
- Manage and distribute incoming and outgoing mail
- Coordinate the head office G&A budget and communicate budget guidance materials with sites
- Coordination special events, social and recognition activities and participate in them
- Coordinating and Assisting meetings with internal and external stakeholders (logistics, spaces, F&B)
- Organize cross-department meetings and reporting
- Logistical coordination for retail operations/marketing conferences and assist in coordination of industry trade shows
- Develop strong relationship with internal stakeholders for leasing, sites, asset management, mail, legal, AP, IT, Privacy
To succeed in this role, you have
- Post-secondary education with three years experience in a similar role
- Excellent interpersonal and communication skills
- A proven ability to work with internal and external stakeholders at all levels of management
- A detailed oriented approach with excellent organizational and problem-solving skills
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- The ability to thrive and adapt in an evolving organization
- A collaborative approach to sharing knowledge within a team environment
- Delivering high performance and driven by achieving results through creative thinking
- Experience with commercial real estate would be of benefit
- Bi-Lingual in French would be a benefit, but not mandatory
