What is the opportunity?
The Executive Assistant, Client & Marketing Strategy will be a critical enabler of efficiency, organization and operational excellence for the Client and Marketing Strategy team. The role supports the Global Head of Client & Marketing Strategy, while ensuring the smooth day to day functioning of the broader team globally and Toronto office.
Skills required include a solutions-oriented attitude, a track record of building strong relationships with peers and the marketing organization, and an ability to juggle multiple demands in a fast paced environment.
What will you do?
- Maintain schedule and calendar of key activities for Head of Client & Marketing Strategy and ensure key critical dates are met.
- Support the organizational needs of the C&MS Senior Management and Global C&MS meetings and on- sites, including agenda development, scheduling speakers, distributing materials and summarizing meeting notes.
- Exhibit initiative and to help leadership team as necessary. Identify areas where assistance can be provided and pursue the opportunity to do so.
- Communicate on a timely basis the status of key deliverables as appropriate
- Perform administrative tasks, including but not limited to, coordinate meeting arrangements, setting up conference calls, catering, ordering stationary supplies, scanning of documents, organizing transportation, etc.
- Prepare, track and manage expense reports via expense reporting system
- Make travel arrangements and handle changes as needed
- Work closely with the Business Manager to support the processing of Conferences, Marketing invoice payments
- Coordinate logistical deliveries for Marketing and Conference groups in Toronto including courier shipments, employee desk drops, etc.
- Provide onsite support for marquee RBC events including registration desk / check in where required
- Manage the printing and distribution of enterprise marketing collateral quarterly in CM offices
- Manage security cards for the C&MS team in Toronto
- Coordinate with building management
- Maintain staff contact lists, vacation and absence records, and other HR materials
- Arrange new employee onboarding and departure
- Support in the maintenance and formatting of key C&MS KPIs and calendar of marketing events and conferences for executive distribution
- Support internal communications on the C&MS team to ensure team is informed, engaged and aligned
- Support in the development of team building activities for the C&MS team
- Participate in performing tasks on “special projects” as requested.
Critical to the role is the maintenance of the highest level of confidentiality at all times and protect sensitive information in circumstances where required and necessary
What you need to succeed?
- Minimum 5+ years’ experience in an executive assistant capacity supporting senior executives
- Secondary education required
- Strong verbal and written communication skills both internally/externally
- Proactive, solutions oriented mindset and anticipate needs without being asked
- Ability to partner effectively with key stakeholders, build strong collaborative relationships
- Demonstrate ownership and execution of primary responsibilities
- Outstanding time management skills, diplomacy, tact, and positive can-do attitude
- Ability to maintain consistent and high levels of performance
- Enjoys working in a time-sensitive, fast-paced environment
- Capable of to multi-tasking across projects and flex when needed
- Experience working on highly confidential projects with appropriate discretion and sensitivity
- Strong working knowledge of Word, Excel, PowerPoint and Outlook
