Job Description

What is the opportunity?

In this role you will be responsible for supporting and managing events and communications for RBC Technology & Operations “T&O” and the Transformation & Chief Operating Office “TCOO”.

The Event Manager will support and manage internal RBC events, including conferences, town halls, meetings and employee engagement contests on behalf of internal partners and executives, including communications requirements. As the Event Manager you will work closely with the Senior Event Managers and the Director, Performance & Events on the planning and execution of T&O wide events, including leading event logistics and creating an exceptional attendee experience.

You will learn in an agile environment where the team’s goal is to design and deliver best in class events, engagement programs and reward and recognition that enhance the RBC brand, culture and T&O strategy.

What will you do?

  • Provide Support to the Senior Manager and/or Director while implementing logistics support for various events the team is engaged with, including leadership events for the Group Head, Technology & Operations, as well as the Transformation & Chief Operating Office “TCOO” town halls, galas, engagement events, conferences and meetings on behalf of internal partners.
  • Work in collaboration with other Event Coordinators, Event Managers and cross enterprise stakeholders to help with the design, planning, management and execution of selected T&O signature events & engagement opportunities across T&O.
  • Support on event management needs and logistics for high profile T&O signature events as required. This includes but is not limited to negotiating supplier/vendor contracts, event theme design and décor, production management, supporting committees, identifying key objectives, and logistical details as appropriate for each event.
  • Support event planning and execution by creating critical paths, registration tools, event proposals, budgets, and delivering post-event analysis reports.
  • Coordinate and monitor suppliers/vendors during events, including, but not limited to, event related video production, staging, facility staff and audio-visual production.
  • Support business partners and/or communications teams with event communications (creating, editing, distributing), preparing briefs for speakers, as well employee engagement proposals.
  • Work in collaboration with the Senior Manager and/or the Director to conceptualize and write employee engagement scripts and video storyboards
  • Build positive relationships with business partners by demonstrating competence and creativity in supporting their event requirements.
  • Research keynote speakers, vendors and industry trends to present back to internal partners.
  • Improve the production and quality of PowerPoint presentations for internal partners.
  • Communicate with internal partners and internal & external suppliers in a skilled and professional manner.

What do you need to succeed?

Must-have:

  • 5-7 years of industry experience associated with large scale corporate event planning (in-person and virtual).
  • Knowledge and understanding of Request for Proposal (RFP) procedures and Banquet Event Orders (BEO), experience working with vendors (e.g. Event locations, AV teams, etc.)
  • Excellent aptitude for planning, organization, prioritizing and multi-tasking to meet conflicting demands, with the ability to identify challenges and propose solutions
  • Proven relationship management and effective verbal and written communications skills; strong customer service orientation; ability to interact effectively with senior level management.
  • Flexible attitude, teamwork and cooperation skills; collaboration, relationship building skills, sound judgement, diplomacy and discretion.
  • Superb ability to collaborate and works effectively in a team environment.
  • Ability and willingness to travel within the GTA area for various event locations/sites and internationally as required.

Nice-to-have:

  • Certified Meeting Professional (CMP) designation (or working towards).
  • Knowledge of WebEx (Meetings & Webinars) and other Video Conferencing platforms.
  • Excellent proficiency with MS Office Programs (PowerPoint, Excel, Outlook, and Word).
  • Undergraduate degree and/or Graduate degree (Event Management, Business Administration, Communications), preferred.
