Job Description

What is the opportunity?

As an Executive Assistant, you will directly support the Senior Vice President, Leadership & Learning and the Vice President of Inclusion & Culture. You will play a critical role to ensure the days run smoothly as calendars change and new meeting requests for time arrive. Making effective use of executive time, understanding and prioritizing requests across teams and proactively planning future workshops will be key feature of this role.

You will be accountable for managing schedules, team events and executive communications. You will liaise with RBC leadership and business partners on the executives behalf, follow up on action items, maintain calendars and support premises management and logistics. This role will also prepare and act as a pre-verification officer for department expense reports.

What will you do?

  • Provide executive administrative assistance maintaining a high degree of confidentiality and accuracy within a fast-paced, deadline driven environment.
  • Assist as the primary liaison for the executives, with senior internal and external stakeholders.
  • Coordinate and maintain the executives calendar responding and prioritizing as appropriate.
  • Manage ad hoc travel arrangements ensuring seamless travel and efficient use of budgeting and resources.
  • Support the planning and development of Town Halls and workshops
  • Manage the executives’ business expenses, and ensure invoices and bills are promptly paid; prepare and approve expenses according to delegated authorities.
  • Coordinate logistics and conference rooms for meetings
  • Develop routines including action items and follow-ups. Provide post-event support as needed.
  • Coordinate arrangements for employee onboarding including equipment and premises requirements and ensuring adherence policies and procedures.
  • Supports the establishment of requisitions for job postings as well as team alignment reconfigurations and other needs to ensure accurate team downlines within Workday

What do you need to succeed?

Must-have:

  • Superior organizational skills in calendar management, scheduling, organizing and planning
  • Strong interpersonal relationship skills to work effectively with other Executive Assistants, various levels of staff, including senior management and executives; ability to work as a team member.
  • Sound judgement in decision making
  • Strong problem-solving skills and resourceful in working with others and representing the offices of the executives.
  • Anticipate the needs of the executives and flag questions or opportunities before issues arise.
  • Demonstrate initiative, positive and helpful attitude when dealing with others in a professional manner.
  • High proficiency in MS Office (Word, PowerPoint, Excel, Outlook

Nice-to-have:

  • 3+ years of Executive or Administrative support experience supporting senior leadership.
  • Related experience within a matrixed corporate environment.
  • Large event planning and execution experience
  • Human Resources experience
  • Familiarity with HR
