Job Description:

Senior Facilities Coordinator will report into Senior Operations Manager.

What will you do?

  • Address client inquiries and concerns ensuring timely and quality issue resolution and service delivery

  • Respond to facility inquiries and complaints, verify problem and take the necessary corrective action

  • Remain knowledgeable regarding all operational aspects of building systems

  • Manage and schedule vendors for completion of service calls related to HVAC, Mechanical, plumbing, building repairs, architectural, etc.

  • Assist in establishing contracts for 3rd party services

  • Execute on Service Level Agreements to ensure that Facility operations are delivering a cost effective, quality service to all clients across the assigned portfolio

  • Ensure customer follow-ups, administration of nameplates and signs, track work orders

  • Ability to respond to site emergencies during and after business hours

  • Assist in the monitoring of Property Management services and service level expectations to ensure efficient and practical upkeep of all premises, and customer requirements

  • Verify final invoice pricing and process payments in a timely manner

  • Schedule and document maintenance and repairs on building equipment

  • Provide process and procedures training and direction to new associates

  • Assist with MAC processes and execution of services; including furniture requirements, repairs, storage, etc., as required

  • Assist in energy management and green initiatives including; waste management and recycling programs

  • Assist with preventative maintenance programs, vendor management and regulatory compliance with Building, Fire & Safety Codes

Other duties as assigned:

  • Support CRE Operations and other departments with various tasks

  • Coordination and support of events within the office

  • Arrange for security access and other internal clearance requirements

What do you need to succeed?

  • Excellent Customer Service skills

  • Excellent communication skills both written and verbal

  • Basic knowledge of accounting

  • Knowledge of HVAC and mechanical systems

  • Basic knowledge of building systems and components

  • Demonstrates excellent time management and organizational skills

  • Strong problem-solving and decision-making skills

  • Keen business sense/knowledge

  • Ability to work in team and independently with little supervision

  • Ability to read and understand floor plan drawings

  • Ability to handle multiple demands and able to adapt to changing business requirements

  • Brings in-depth knowledge of facilities best practices and processes

Assets:

  • 2-3 years work experience in facility, property or building management

  • Facilities management, construction engineering or an architectural technology diploma or equivalent experience

  • Proficient in Excel and excellent knowledge of Microsoft Office

  • Basic working knowledge of AutoCAD

The Base Pay range is for the primary location for which the job is posted. It may vary depending on the work location of the successful candidate or other factors. In addition to Base Pay, eligible Sun Life employees participate in various incentive plans, payment under which is discretionary and subject to individual and company performance. Certain sales focused roles have sales incentive plans based on individual or group sales results.
